The delegate bag checklist

The bags delegates keep have a few things in common.

  • It takes an A4 programme flat, with room for a notebook and a lanyard.
  • It has a gusset if the pack is thick. Brochures, a notebook and a water bottle need the depth of a gusseted tote such as the Recycled Canvas Tote Bag.
  • The handles go over a shoulder, so delegates can carry it and still shake hands.
  • Your event name is on the front and your sponsors are on the back.
  • The design uses one or two ink colours. It keeps the price down and still looks sharp from across a hall.
  • You have counted speakers, staff and exhibitors as well as delegates, and added a few spares.
  • Someone at the venue knows the bags are coming and where they will be kept.

Sponsors on the back

Printing both sides turns one bag into two adverts: the event on the front and your sponsors on the back. Each colour on each side needs its own screen, which is a one-off charge, so the extra matters less the bigger the run.

Keep the sponsor side to one ink colour. A row of logos in a single colour looks tidy, saves arguing over whose brand colour wins, and keeps the number of screens down. Ask every sponsor for a vector logo early: chasing files is the usual reason delegate bags run late.

From order to venue

  1. Choose your bag and quantity

    Pick a bag, add your print colours and sides, and see the live price. Prices on each bag start from 25, and you can type any quantity.

  2. Send your artwork

    Upload your logo, and your sponsors' logos if they go on the back. We check every file for free.

  3. Approve the proof

    We email you a proof and print nothing until you approve it. Standard turnaround is 7 to 10 working days from that day.

  4. We print and deliver

    We print in Leeds and send the bags by DPD Next Day to any UK mainland address, including the venue if it takes deliveries.

Questions people ask

How far ahead should I order conference bags?

Standard turnaround is 7 to 10 working days from approving your proof, plus a day or two for artwork. For a big event we'd order a month ahead, so there's time for a sample and a second proof if a sponsor changes their logo. If your date is close, our express range can be printed and delivered from the next working day, up to 500 of each bag.

What size of bag holds A4?

A bag of about 38 x 42 cm holds an A4 programme flat with room to spare, and that covers most of our totes. For thick packs, choose one with a gusset, such as the Recycled Canvas Tote Bag (38 x 42 x 10 cm). Our bag sizes guide compares them all.

Can you deliver straight to the venue?

Yes, if the venue accepts deliveries. We send every order by DPD Next Day to UK mainland addresses. Check the venue's goods-in hours, and put the event name and a contact name on the address.

Can I print a different design on the back?

Yes. We print on one or both sides, in 1 to 4 colours. Each colour on each side needs its own screen, which is a one-off charge per colour.

How many bags should we order?

Count delegates, speakers, staff and exhibitors, then add a few spares for late registrations. Our guide to how many bags you need for an event goes through it.

Do you print paper bags for exhibitions?

Yes. We print logo paper bags in twisted handle, flat handle, luxury kraft and laminated styles. They are quoted by hand, with no fixed minimum. See our paper bags.
